Creative Solutions Work Process – From Brief to Execution

Overview

This article outlines the complete project flow within Studio 69 (under Creative Solutions, FBC TV). It explains what happens once a creative brief is submitted, how internal assignments are handled, and how tasks, milestones, and communications are managed inside the S69Hub platform.


🔁 Workflow Breakdown

1. Creative Brief Submission

The process begins when a client (internal or external) submits a Creative Brief via our official online form:

2. Assignment by Studio 69 Coordinator

The Studio 69 Coordinator reviews the brief and:

  • Assigns a team member to handle the assignment

  • The assigned person automatically receives the brief via email and inside their dashboard

🔔 Note: Assignment does not mean immediate production — prep work starts first.

3. Pre-Production Preparation

The assigned team member:

  • Reads and understands the brief

  • Conducts initial research (e.g. style, audience, brand)

  • Collects or requests any necessary assets

  • Prepares questions, schedules, or creative references

This stage ensures the project kicks off smoothly once activated.


🧑‍💻 4. Client Check & Onboarding

The Coordinator then:

  • Searches for the client inside the Clients module on the dashboard

  • If the client is new, a record is created and onboarding begins

✅ Onboarding includes contact info, organization details, billing settings, and preferred communication method.


📁 5. Project Creation

A Project is created inside S69Hub with:

  • Project title, description, and due dates

  • The assigned team member added as part of the team

  • Client information linked

  • Visibility to both Creative Solutions management and the assigned crew


📌 6. Task & Milestone Setup

Once the project exists:

  • At least one Task is created under the project
    (complex projects may include multiple tasks)

  • A Milestone and Project Roadmap are also created

    • Helps visualize phases: briefing → production → review → delivery

🚦 This is the green light: As soon as a task is created, the assigned person may begin working on the production.


💬 7. Ongoing Project Communication

  • Comments must be added within the Task view

  • Use comments to:

    • Share updates

    • Request feedback

    • Upload early drafts

  • Each comment triggers an automated email to all relevant team members (including Coordinator, client if applicable)

This keeps everyone aligned and avoids miscommunication.
